Job Title: Clinic Manager

Position Summary
- This role will be responsible for overseeing day-to-day clinic operations, managing, supervising and evaluating staff and volunteers, ensuring quality patient care, implementing hospital policies and ensuring business development strategies, to ensure that all goals and objectives are accomplished in accordance with policies and procedures.
- He/She will work under the direction of the MD Clinic and Administration to ensure all compliance and quality requirements are met.
- The role will ensure that there is consistently high standards of administrative service to patients irrespective of their referral route, which is embedded throughout the culture and working practices of the team.
Job Description
- Manages and oversees the administrative operations of the clinic and staff
- Provide a timely, efficient and courteous provision of Outpatient services to the agreed standards of the department, taking account of the patient/clients clinical, physical and cultural needs
- Develop, implement, and maintain clinic policies and procedures
- Ensure that all policies and procedures function in accordance with state & federal laws as well as all regulatory bodies
- Supervise clinical staff members ensuring patient scheduling, registration, financial counseling, data entry and processing, and cash posting meet high standards
- Ensures that both Front and Back office process the patients timely and appropriately.
- Promote and deliver excellent customer service
- Responsible for the providing excellent service to the high-profile patients while they are attending the clinic
- Maintain strong and effective relationships and dialogue with all practicing consultants who deliver patient services
- Take an innovative approach to the development of services, maximising the use of digitalization to deliver excellent customer service
- Handles and resolves patients’ complaints/grievance as per policies and procedures.
- Monitors productivity and receivables
- Monitor new enrollment and ensures member retention
- Ensure the clinics site and medical records are always prepared for internal an external audits and inspection.
- Seeks opportunity to collaborate with other agencies in promoting the clinics services.
- Managing internal and external communications, and answering queries about the clinic
- Maintain call and surgery schedule for providers
- Monitor purchase and restock office supplies
- Ensure all facility equipment are fully functional, otherwise report to the appropriate PIC
- Ensures dissemination of information to the clinic staff, providers and other divisional manager on any updates and/or changes of clinics protocols
- Attends management and staff meetings and other meetings as requested.
- Responsible for assuring accurate and timely entries of pertinent medical information on all patients: telephone encounters, reports and medical records from outside facilities, progress notes, refills/prescriptions, no-shows, and cancellations.
- Assist in the development and implementation of special clinic projects.
- Maintains Patient and employee confidentiality
- Ensuring that effective policies and procedures are in place and updated in line with regulations.
- Support and engage in the recruitment of new staff members
- Manage, train and motivate new clinic staff from time to time
- Maintain staff work schedule to ensure adequate staffing and vacation schedule
- Coordinate community events and information in conjunction with the Marketing team
- Keeping up to date with tenancies, liaising with managing agents and 3rd parties where required

Job Requirements
